The businesses of ERA include originating, advising, structuring and financing investment transactions in France and further afield, which are often backed by tangible collateral such as aircraft, ships, corporate real estate or complex and structured loans.


Reporting to the MD of the office, the tasks of the Office Manager are envisaged to be the general administration and management office of all office matters, to ensure smooth running of the office, including,but not limited to the below :
Have all the responsibilities related to the front desk / reception role.
Answering calls & enquiries, emails, handle requests, assisting/welcoming guests etc
Be the person in charge when it comes to the smooth operation of the office, help with trouble shooting, making sure that everything runs as it should.
Check all invoices, including, but not limited to, rental, communal expenses, travel expenses and insurance contracts (office, car) to ensure timely settlement.
Ensure timely settlement of the Office?s credit card.
Record all invoices/receipts in a specific template and submit this together with all invoices to the external accountant order for the latter to prepare timely the monthly report for Paris.
In addition to the above recording requirements, record all expenses by Supplier?s VAT number in the template provided/required by Procurement and submit these to Procurement annually (by January 10).
Keep track of everyone's travel days/vacation days/sick-leave days.
Report to HR on a quarterly basis the leave of absences.
Book travel/hotel accommodation related to business travel.
Ensure that any malfunctioning of equipment is dealt timely, either through contacting the landlord/building manager or the relevant suppliers/engineers.
Be the office?s contact person with the insurance company (medical placement etc), bank, landlord, suppliers, etc.
Assist in the organization of meetings with clients in cooperation with the MD and the team.
Assist in the organization of hotel accommodation, the Team Dinner and the Posidonia event (every second year)

Office management/business administration experience.
Experience as personnal assistant

Bachelor degree
