Purpose of the Position

To provide regional support on Office and PSG non-standard pricing (Bids & Tenders) to all pricing and contract matters for Middle East & Africa (MEA) partners.


Total Bids and Tender (B&T) contract development and profitability for Office and PSG business revenue (equipment, supplies and service).

Principal Responsibilities

* To enforce and carry out MEA approach for bid management by providing bid support for major equipment and 'services-light' opportunities.
* To support the MEA core operational processes for bid management by providing process ownership and management.
* Provide management information to the senior management team for subsequent analysis to support strategic decisions in relation to global engagement enquiries.
* Interprets internal or external business issues and recommends solutions/best practices
* To align MEA and own working practices to ensure compliance to bid management standards and governance requirements.
* To continuously seek ways to improve and enhance the way in which we do business and our ability to be competitive in order to drive greater success.
* Develop and maintain a regional Office and PSG B&T calendar providing details of existing contract and renewal dates along with new contracts coming into the market.
* Establish and manage the monthly B&T pricing review board, with key participation from business and commercial managers responsible for accounts.
* Provide assessment of contract fulfilment and profitability.
* Support the management of pricing and contracts with worldwide counterparts and global network (global bids)
Primary Responsibilities

MEA Deal Bid Support:
* Manage global deal support where the scope may be equipment only or include additional 'light services'.
* Engage with partner manager to support with bid response activities and manage as a virtual team in order to ensure success in delivery of the required.
* Develops and manages the bid development project plan, including setback schedules, to ensure all internal, partner and customer deadlines are met with a technically and commercially competitive proposal.
* Champions team-working and constantly improves the quality and inter-working of the service development, sales, consultancy, solution architecture, bid management, service transition and service delivery teams, as well as other Xerox service partners and suppliers.
* Provides support and input to bid response issues. Ensures root-cause analysis is conducted and corrective action plans where appropriate - are followed through with learning applied for future benefit
* Supports the global bid project team to successful contract close and service implementation

Bid Centre Core Operational Processes:

* Manage the bid engagement process for new bid requests received from other regions.
Manage the engagement process for account alignment requests received

* Maintain a contact matrix of all key personnel for Channel, GDO and pricing activity (amongst others core functions).

* Identify areas of process improvement or synergy by working with the countries, partner managers and partners

* Information Management:

* Support the Management team by providing information and input on deal and revenue reporting

* To utilise MEA knowledge and information to develop and recommend improvement strategies

MEA Country Communications Program:

* Develop and manage a program of regular communication with the wider bid community on performance and activity of MEA where DMO/Other stakeholders are involved.
* The program should seek to address requirements all through the regional organisations and use a variety of channels to ensure effectiveness of reach.
* Compliance to global bid management standards and governance requirements:
* Manage own activities and those of the Countries to ensure compliance to necessary governance (BMPP: GDO001 or Technology, SRM, GDO003 etc.).
* Maintain records of compliance for audit purposes and to support with contracting and transition activities when successful.
* Process Re-engineering:
* Utilise existing methods to deliver current role requirements but continually seek to identify areas of improvement to enable Xerox and MEA to be more successful in the future either through better utilisation of current tools and processes or establishment of new ones.
