For our client, a financial institution in Basel, we are looking for an Administrative Assistant to play a key role in supporting the team by providing high quality administrative and secretarial assistance. This position requires an immediate start date with a contract length of two months.


Provide high-level administrative and secretarial support to senior team members, ensuring efficient daily operations.
Coordinate logistics for internal and external meetings and events, including venue arrangements, travel planning, documentation preparation, and on-site support when necessary.
Manage official correspondence, phone calls, and emails; prioritize inquiries and ensure timely follow-up or delegation as appropriate.
Maintain accurate records, contact lists, and filing systems, both electronic and physical, in accordance with internal archiving standards.
Format, proofread, and distribute formal reports and documents, ensuring consistency and compliance with internal guidelines.
Organize hospitality and business-related activities such as business trips, official meals, and visitor appointments, including vendor coordination, billing oversight, and expense reconciliation.

Degree in business administration or a related field.
2+ years of experience in admin/secretarial roles, ideally in international or financial settings.
Fluent in English with strong written and verbal communication skills.
Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
Highly organized, detail-oriented, and able to manage multiple tasks independently.
Proactive team player with strong interpersonal skills and discretion.
